Refund policy

The short version
- Every account starts with a 14-day trial so that nobody pays before trying the product. Nothing is charged until day 15.
- Cancel at any time from the billing page. You keep access until the end of the period you have paid for, and you are not charged again.
- If you forget to cancel, email us within 7 days of your first charge and we will refund it in full. This applies once, to the first charge only.
- After that window, subscription fees are not refunded, on monthly or annual plans. Overage and onboarding fees are never refunded.
- Refunds go back to the original card within 5 to 10 business days. Please contact us before opening a chargeback; we will sort it out faster.
011. The principle
We would rather you try Ciolk OS for free than pay and regret it. That is why every account begins with a 14-day trial with full access to the plan you chose. The trial requires a payment method, which lets the subscription start without interruption if you decide to stay, but nothing is charged during the trial and you can cancel before it ends without paying anything.
Because the trial exists, our refund policy after the trial is deliberately simple and deliberately narrow. This page sets out exactly when we refund, when we do not, and how to ask.
022. When you are charged
Your trial begins the day you create the account and lasts 14 days. On day 15, the day after the trial ends, Stripe charges the payment method on file for the first billing period of your plan: one month on monthly billing, one year on annual billing. We show the first-charge date on the billing page throughout the trial and remind you by email before it arrives.
After the first charge, the subscription renews automatically at the start of each billing period until you cancel. Each renewal charge is for the period ahead.
033. Canceling
You can cancel at any time. Open the billing page in the product and choose to manage your subscription; this opens the Stripe customer portal, where cancellation takes effect immediately for future renewals. You do not need to contact us, and we will not ask you why, though we will read it if you tell us.
Canceling does not cut off the period you have already paid for. You keep full access, including exports, until the end of that period, and no further charges are made. If you cancel during the trial, access ends when the trial ends and you are never charged.
If you cancel and later want to come back, you can restart the subscription from the billing page. A returning account does not get a new trial or a new goodwill window.
044. The 7-day goodwill window
Trials get forgotten. If you meant to cancel and did not, email noahciolkosz@ciolkoszintelligence.com within 7 days of your first subscription charge and we will refund that charge in full, no questions asked. We then cancel the subscription and close access at the end of the refunded period, or immediately if you prefer.
The window applies once per business, to the first subscription charge only, whether that charge is for a month or a year. It does not apply to renewal charges, to a second account created by the same business, or to an account that was restarted after cancellation.
To keep the request simple, send it from the email address on the account owner's profile and tell us the business name. We confirm by reply and issue the refund through Stripe the same or the next business day.
055. After the window
Outside the 7-day goodwill window, subscription fees are not refundable. This applies to the first charge once the window has passed and to every renewal charge, on both monthly and annual billing. If you cancel part-way through a period, you keep access for the rest of it rather than receiving money back for the unused part.
Annual plans follow the same rule. The annual price is discounted in exchange for the commitment, so we do not refund unused months after the goodwill window, and we do not convert the remainder into monthly credit. If you are unsure whether you will use the product for a full year, choose monthly billing; you can switch to annual later and Stripe will prorate the change.
Plan changes are not refunds. When you move to a cheaper plan or from annual to monthly, Stripe prorates the difference and applies it as a credit to your next invoice rather than returning it to your card.
066. Overage and onboarding fees
Overage. Each plan includes a monthly allowance of AI actions. Actions beyond the allowance are billed at your plan's published per-action rate on your next invoice. Overage charges reflect model calls that have already been made on your behalf and are not refundable. The usage meter in the product shows your position at all times, and we email you as you approach the allowance.
Onboarding. Regulated practices on the Command plan pay a one-time onboarding fee of $1,500, invoiced separately at the start of onboarding. The fee covers hands-on setup work. It is refundable in full if you cancel before any onboarding work has begun; once work has begun, it is not refundable.
077. When the problem is ours
The rules above assume the product worked. If we charged you in error, charged you twice, charged you after you canceled, or the service was materially unavailable for an extended period because of a fault on our side, tell us and we will put it right, including a refund or credit for the affected period. This is not limited by the goodwill window.
If we terminate your account without cause during a prepaid period, we refund the unused part of that period. If we terminate for a breach of the terms of service, we do not.
088. Chargebacks
Please contact us before disputing a charge with your card issuer. A chargeback takes weeks to resolve, costs both of us a fee, and usually ends in the same place as an email would have, only slower. Most billing questions are settled within a business day by writing to noahciolkosz@ciolkoszintelligence.com.
If a chargeback is opened on a charge that this policy covers, we will respond to the card network with the account records, including the trial dates, first-charge notice, and cancellation history. While a chargeback is open, the account may be suspended. An account with a chargeback that is decided in our favor may be closed.
099. Payments your clients make to you
This policy covers what you pay Ciolk. It does not cover payments that your own clients make to you through quotes and invoices sent from the product. Those payments are processed by Stripe and settle to your account; Ciolk is not a party to them, does not hold the funds, and cannot refund them. Refunds to your clients are between you and them and are issued from your Stripe account. Your own refund terms are yours to set and we encourage you to state them on your invoices.
1010. How to request a refund
Email noahciolkosz@ciolkoszintelligence.com from the account owner's address with the business name and, if you have it, the invoice number from the Stripe receipt. Say which of the situations on this page applies. We reply within two business days and, where a refund is due, issue it through Stripe at the same time.
Refunds go back to the original payment method. Stripe releases the funds immediately; card issuers typically take 5 to 10 business days to show the credit on your statement, and occasionally longer for some banks. We cannot refund to a different card or by bank transfer.
If a refunded charge included sales tax, the tax is refunded with it.
1111. Changes to this policy
If we change this policy in a way that reduces what you are entitled to, we will email account owners at least 30 days before the change takes effect, and the new terms will apply only to charges made after that date. The effective date at the top of the page shows the current version. This policy forms part of the terms of service.
